Corporate Event Photographer in Toronto and the GTA

Keynotes, panels, the tradeshow floor and the gala that night. Photographed so your client has images to post the same evening and a full gallery the next business day.

Based in Oakville, covering Mississauga, Toronto and the whole GTA with travel included. Events for OnPharm-United, McGill University, WMAD, Bobby Umar's Discover Your Personal Brand, North of 50 Magazine, Firecracker Department's TIFF Brunch and ILLUMI by Cavalia, among others. I work alongside event planners, not around them.

Event coverage and guest headshots at the same event? Yes. One photographer covers the room while a second runs a headshot station, so the event gets covered and every guest who wants a portrait gets one.

Half day $1,000 + HST ยท Full day, up to 8 hours, $1,800 + HST

How event coverage works โ†“

The images above come from conferences, panels, galas and firm events across Oakville, Mississauga, Toronto and the GTA. A good event gallery does two jobs: it gives your client something to post while the event is still trending, and it gives them next year's brochure.

A professional headshot station, or headshot booth, on the floor, branded by a sponsor. More on that below.

On a multi-day conference each day gets its own gallery, then everything is combined into one link the team can share. When the client needs it, a separate curated gallery goes to VIP or government guests.

Chapter 03 ยท For event planners

An event photographer for planners and agencies

Most of my event work runs through a planner, and the day goes well when the planner never has to think about the photographer. If you run conferences, tradeshows or galas in Toronto and the GTA and need a photographer you can put on your vendor list, this is what you get.

Insured

$2 million commercial general liability. A certificate of insurance on request, with your venue or your company named as additional insured.

Your floor, your client

On your event I work for you. No business cards, no pitching your client. A client you introduce me to stays yours for five years: if they want to book me again, it goes through you.

Dressed for your event

How I look on your floor reflects on you. I dress to suit the event, which usually means a suit.

Invoiced your way

I invoice whoever books me, you or your client, so the photography fits into your budget the way you run it.

Confidential when it needs to be

Happy to sign an NDA. Pharmaceutical and healthcare events have rules about what can be photographed, and I shoot to the brief.

Backup on every job

Two camera bodies at every event, so a failed camera never stops coverage.

Photos for your own portfolio

Where your client agrees, you can use the images in your own portfolio and proposals with a photo credit.

The logistics get settled before the event, in writing, not on the floor.

Requirements for your run of show

A short list sent ahead: power, a small working table, a shooting position for keynotes and the gala, and where lighting goes. Approved by you and the client before the day.

A site visit

We walk the venue together. Any lighting setup goes up in the actual room so there are no surprises on the day.

A shot list from your client

Who must be photographed, with whom, and when. Sponsors, speakers, board members and VIPs, so nobody important is missed.

Images the same evening

Twenty to thirty selects the same evening, ready for social. The full colour corrected gallery the next business day, one link per day plus a combined link at the end.

Chapter 04

The headshot lounge

A professional headshot station on the conference floor or at the gala, what some call a headshot booth. Attendees book a time slot or walk up, sit for a few minutes, and get their photos by email the next business day. A sponsor puts their name on it, which turns it into sponsorship inventory your client can sell rather than a cost.

At conference pace I photograph eighty or more people in a day. Booking, check-in and delivery to each person's inbox are all handled, so nobody on your team touches a file.

Most conference swag ends up in a hotel room bin. A headshot ends up on LinkedIn with the sponsor's event behind it.

Questions planners ask

Event photography FAQ

How much does a corporate event photographer cost in Oakville?

A full day, up to eight hours, is $1,800 + HST, a flat rate rather than hourly. A half day, up to four hours, is $1,000 + HST. The same rates apply in Mississauga, Toronto and across the GTA, with travel included.

How many photos do we get?

A full day typically delivers 150 to 300 edited images, colour corrected, plus twenty to thirty selects the same evening.

How fast do we get the photos?

Twenty to thirty selects the same evening, ready for social media. The full colour corrected gallery arrives the next business day.

Can you run a headshot lounge at our conference?

Yes. A lounge day is $2,500 + HST, usually paid by a sponsor whose name goes on it. I handle booking, check-in and delivery to each attendee's inbox.

Can you photograph our gala and run a headshot station for guests at the same time?

Yes. One photographer covers the event, from arrivals and speeches to awards and group photos, while a second runs the headshot station, so every guest who wants a portrait gets one. It's quoted with your date.

Do you work with event planners and event management companies?

Yes. Most of my event work runs through planners and agencies across Toronto and the GTA. I send my requirements ahead for your run of show and agree the details at the site visit, so nothing gets negotiated on the floor.

Do you carry liability insurance?

Yes, $2 million commercial general liability. I can send a certificate of insurance naming your venue or your company as additional insured.

What if our client wants to hire you directly later?

It goes through you. A client you introduce me to stays your client for five years, and any work they ask me for in that time is booked through you.

Do you invoice the planner or the client?

Whoever books me. Many planners prefer to bill photography through their own invoice, and that works fine.

Can we use the photos to market our planning company?

Yes, where your client agrees, with a photo credit. Many planners use event galleries in their portfolio and proposals.

Do we need a second photographer?

For large events, usually 300 guests and up, a second photographer makes sure the stage and the room are covered at the same time. It's quoted with your date.

Do you charge for travel?

Travel anywhere in the GTA is included, Oakville, Mississauga, Toronto and everywhere between. Beyond the GTA, I've photographed conferences as far as Niagara Falls; send your dates and venue and travel is quoted with them.

Planning a conference or gala?

Send me your dates and venue. A twenty minute call covers the run of show, the shot list and whether a headshot lounge fits.
